AI receptionist · Dental clinics

The front desk that never hangs up the phone.

An AI assistant answers your WhatsApp at any hour: it resolves questions, offers real slots from your calendar, books the appointment and reminds patients to show up. When a person is needed, it hands over.

The leak

Every unanswered message is an appointment going to another clinic.

It is not about the team's attitude: one person cannot cover the front desk, the phone and WhatsApp at the same time. These are the four places where the money leaks out.

24 h

Patients write in the afternoon, at night and at weekends. If nobody answers, they try the next clinic.

1 in 10

Appointments that no-show when there is no reminder. An idle chair you are already paying for.

2 h/day

Time spent answering the same questions: opening hours, prices, insurance, parking.

6 months

How long it takes a patient to go cold when nobody reminds them a check-up is due.

How it works

It answers like you do, and books on your real calendar.

It does not invent availability: it checks each professional's hours, the appointments already booked and their Google Calendar before proposing anything. The appointment lands in the panel and in the calendar of whoever is attending.

Conversations, with a human handover

The team sees every thread in real time. If the patient asks for a person, there is an emergency or something goes off script, the assistant steps aside and raises a flag.

  • Pause the bot on a thread with one click
  • Reply from the panel, without switching apps
  • On-screen alert when someone needs a person

One calendar per professional

Each specialist has their own services, hours and calendar. The assistant offers slots from whoever actually performs that treatment, and the patient can ask for someone specific.

  • Month and week views, filtered by professional
  • Cancel, reschedule and mark no-shows
  • Blocks for holidays, training or breakdowns
Monthly calendar with appointments coloured by specialist

Reminders, campaigns and waiting list

A reminder before every appointment with a confirm button. If someone cancels, the slot goes to whoever is waiting. And anyone who has not been in for months gets a message.

  • Rules like “no check-up in the last 6 months”
  • Automatic opt-out for anyone who asks to stop
  • Post-visit survey and a link to your Google reviews

It tells you how much money is leaking, and where

This is not a dashboard to glance at now and then. It opens with the figure — how much is being lost each month — and breaks it down from largest to smallest, in euros.

  • Empty chairs, no-shows, late cancellations and patients who never come back
  • Each line with its amount and the button that fixes it, without leaving the screen
  • Who earns per chair-hour and who is below break-even
  • What it costs to keep the room open, so you know which hours pay for themselves

Management stays informed without asking

Conversations handled, appointments for the week and activity by day. Every morning, an email with today's appointments, yesterday's no-shows and whatever is waiting for a reply.

  • Patient record with history and internal notes
  • Permissions: the team cannot see settings or billing
  • Everything editable without touching code

The numbers

It pays for itself with four appointments a month.

Conservative figures for an average clinic. Swap in your own and the result barely moves.

Operations analytics

What leaks out every month, itemised: empty chairs, no-shows, late cancellations and dormant patients. Each one with its amount and the button that fixes it. It works on top of any of the three plans and can be dropped whenever you like.

79 € /month

Setup: 890 €, one-off

WhatsApp Business registration and verification, calendar connection, loading your services and hours, writing and approving the automated messages, two weeks of testing and team training.

Separately, WhatsApp charges the clinic for business-initiated messages: between 5 € and 25 € a month. Whatever the patient writes is free. Prices exclude VAT.

What everyone asks

The reasonable doubts.

Do we have to change our practice software?

No. The assistant works from its own calendar and, if your software can export yours, we read it so we never offer hours that are already taken. We never write to your system or touch clinical records.

Can patients tell they are talking to a machine?

It introduces itself as the clinic's assistant; it does not pretend to be a person. As soon as someone asks for the team, it hands the conversation over and flags it in the panel.

Can we still reply by hand?

Always. Any conversation can be paused with one click and answered from the panel; the assistant will not touch that thread again until you switch it back on.

What happens to our current number?

If it is a mobile running the normal WhatsApp app, it has to be removed from that app to connect it to Meta's official API: you lose that app's message history, not your contacts. If you would rather not touch it, we use a new number.

What about data protection?

Data hosted in the European Union, encrypted credentials and a data processing agreement signed before we start. The WhatsApp account is registered to the clinic: the number and the data are yours.

What does it not do?

It does not diagnose, give clinical advice, close quotes or take payments. It does not handle voice calls or Instagram either: only WhatsApp and the form on your website.

The next step

Fifteen minutes and we show it to you live.

We show you the panel running on a sample clinic, with your hours and your services on the table, and answer whatever comes up. If it fits, it goes live in two or three weeks.
